An international energy Corporation that, with its various branches and subsidiaries, is one of the worldwide leaders in both the oil and chemistry industries
Context
With its diversified community of purchasers dispersed geographically on numerous sites, the Purchasing Director had high expectations for the Purchasing Intranet system which had been launched for the Corporation. While this tool allowed Purchasers and Prescribers to share their data and manage Purchasing, it did not reach its frequency objective, probably because no communication scheme or daily updates were being provided.
CKS was mandated to create momentum for the Corporation's Purchasing Intranet system and get the whole Purchasing community involved.
After analysing needs, CKS proposed a communication scheme to highlight this tool and which was structured along 3 main axes:
- Daily updating and maintenance of the Intranet
- Improving features according to Purchasers' and Prescribers' needs
- Actions to boost awareness
Objectives
- Highlight the missions and roles of the Corporation's Purchasing Department
- Restructure the knowledge base and purchasing management
- Find ways for users to access information and news quickly and easily
- Increase communication among teams and branches
Resources
The CKS consulting team steered the mission along 3 main axes that they had identified as the most important:
Update and maintain the Intranet daily:
- Manage users' authorisations
- Update the pages
- Create an editorial committee to meet weekly and decide on the week's articles to be published on the Intranet
Improve features according to Purchasers' and Prescribers' needs
- Collect and analyse needs
- Determine areas for improvement
- Develop, test and implement new features in collaboration with the Project Manager
Create ways to boost awareness
- Create an awareness campaign with eye-catching posters
- Hold informative seminars
- Create a purchasing happening: printed brochures, posters, “calling-card”-sized purchasing appreciation documents ...
Results
- Greater recognition on the part of the Corporation of the Purchasing Home Page as demonstrated by the main branches' increasing support
- A compelling Purchasing Home Page that is updated daily
- A Purchasing Home Page that responds to the needs of the Purchasing Community
